FT DISPATCHER POSITION

JOB PURPOSE:

Ensures timely and accurate dispatch of Chauffeurs for daily assignments.  Assigns and allocates equipment and human resources to meet scheduled trips.  

RESPONSIBILITIES

  • Accepts and confirms incoming and outgoing reservations via telephone, fax, web, or email for customers, agencies, and affiliates. Sends confirmations of same.
  • Communicates with customers and chauffeurs calmly and professionally Sells out-of-town reservations.
  • Advises General Manager about account, vehicle, or chauffeur issues.
  • Ensures that wake-up call requirements are correct
  • Schedules vehicles and chauffeurs to meet daily/nightly transfer and hourly activity, in cost- effective manner.
  • Respond to heavy days by calling in additional chauffeurs and pre-scheduling.
  • Enters information in systems and on forms accurately and completely.
  • Researches and makes update for customer requests for changes to existing reservations.
  • Files original requests and reservations; also files changes and cancellations.
  • Verifies all next-day reservations to insure that pick-up locations, times, flights, etc. are correct.
  • Manages the chauffeur call-in process for the distribution of trips.

REQUIREMENTS

  • Must have a minimum of 1-3 years’ experience working as a dispatcher at a transportation company, preferably in the Livery Industry.
  • Is familiar with MS Office suite, including Outlook email system.
  • Prior experience with Livery software a plus. 
  • Must possess superior communication and telephone skills to effectively and professionally relay information to Chauffeurs, Customer Service and clients.
  • Must have strong attention to detail and a sense of urgency in adjusting to changing schedules and requirements.
  • Is familiar with Nextel phone system.

Events Coordinator

FULL TIME EVENTS COORDINATOR POSITION LOCATED IN BEVERLY, MA

HOURS: Monday thru Friday 2pm - 10pm (overtime as required)

RESPONSIBILITIES:

  • Responds to client inquiries VIA PHONE AND EMAIL for rates, policies, or company information regarding event and ground transportation needs
  • Monitors Events in-box and fax machine; responds to Events booker with confirmations
  • Properly files and maintains all event show documents.
  • Checks event show itineraries’ detail (e.g., flight information, travel times, vehicle type, etc.) For accuracy.
  • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
  • Understands event show process and assumes ownership of quality assurance for all deliverables.
  • Demonstrates complete understanding of Event services including pricing, operations procedures, and the affiliate network
  • Verbally confirms all farm-out reservations in accordance with event procedures.
  • Sends manifest to affiliates containing all reservations for the next day.
  • Develops effective working relationship and rapport with customers and affiliate partners.
  • Strives to increase affiliate inbound business as a source of revenue
  • Onsite events coordination as required

QUALIFICATIONS REQUIRED:

  • Minimum 2+ years in recent customer service event planning role
  • Certified Meeting Planner (preferred)
  • Willingness to step in and take charge
  • Highly detail orientated
  • Microsoft office experience required (Word, Outlook, Excel)
  • Determination to satisfy client & customer needs
  • Outstanding communication & interpersonal skills
  • Proven and mastered Organization Skills.

Global Logistics Coordinator

FULL TIME GLOBAL LOGISTICS COORDINATOR

HOURS: SUN - 9AM -5PM

MON -THU 3PM - 11PM

POSITION DESCRIPTION: Communicates with Affiliates, customers, and chauffeurs calmly and professionally. Is responsive to customers’ calls, questions or complaints. Ensures timely and accurate dispatch of Chauffeurs for daily assignments. Assigns and allocates equipment and human resources to meet scheduled trips. Monitors trip progress and communicates with Chauffeurs directly to assist in the execution of their assignments.

DUTIES AND RESPONSIBILITIES:

  • Accepts and confirms incoming and outgoing reservations via telephone, fax, web, or email for customers, agencies, and affiliates. Sends confirmations of same.
  • Manages all global reservations after original booking. Obtains confirmations, checks for accuracy, and enters confirmation numbers into Livery Coach system
  • Verifies all next day, same day, out-of-town reservations to insure that pick-up locations, times, and flights are correct
  • Prioritizes out-of-town coordination and assists local dispatch as needed by fielding calls; allows main dispatcher to handle movement of cars and chauffeurs
  • Interacts with Customer Service or clients to receive and provide up to date information on reservation changes calmly and professionally
  • Advises General Manager and/or Affiliates Director about account, vehicle, or chauffeur issues on out-of-town trips
  • Anticipates and monitors flight status, traffic, weather and any other logistical concerns that result in schedule changes and adjusts resources accordingly
  • Is the resident expert on our out-of-town process
  • Is responsive to customers’ calls, questions, and complaints

QUALIFICATIONS:

  • Must have a minimum of 3 years’ experience working as a dispatcher at a transportation company, preferably in the livery industry
  • Is familiar with MS Office suite, including Outlook email system.
  • Must possess superior communication and telephone skills to effectively and professionally relay information to Chauffeurs, Customer Service and clients
  • Must have strong attention to detail and a sense of urgency in adjusting to changing schedules and requirements

FULL TIME EXECUTIVE SHUTTLE DRIVER

Full Time Executive Shuttle Driver (13 Person)
This position is a split shift Mon-Fri position

Hours: Mon-Fri 5:30AM - 10:00AM & 3:00PM - 7:30PM

POSITION DESCRIPTION:

The Shuttle Driver is responsible for transporting senior executives, professional workers and other clients to specified destinations in the Boston Metro West area.

DUTIES AND RESPONSIBILITIES:

  • Greeting patrons in a polite manner and assisting them in any way we can
  • Safely shuttling customers to pre-determined destinations
  • Opening and closing doors for patrons
  • Adhering to all traffic laws/signs to ensure the safest possible operation of our shuttles
  • Communicating effectively with customers and co-workers. This includes contact with management, dispatchers
  • Completing required pre-trip inspections to meet federal as well as company safety requirements
  • Sweeping shuttles and removing debris to ensure vehicle is in immaculate condition
  • Compliance with federal, state and local agency regulations in regard to the transport of passenger
  • Accurately complete reports and forms related to shuttle operations.
  • Compliance with company rules, policies and standard operating procedures.

QUALIFICATIONS:

  • Must have a minimum of 2 years' experience driving shuttle bus
  • Must have an Active valid Driver's License in good standing.
  • Must possess the appropriate license, endorsements and medical certifications to operate a 13 person shuttle bus (DPU certified) 
  • Knowledge of local routes and area roads
  • Must possess superior communication and telephone skills to effectively and professionally relay information to Customer Service, Dispatcher and clients.
  • Must be able to anticipate unforeseen problems and make contingency plans.
  • Must be able to lift, push and pull a work load consisting of exerting 20 to 50 or more pounds of force.
